The Sr. Payroll Processing Coordinator will be a main payroll contact for Navient companies, responding to inquiries and answering questions daily from the Payroll Helpdesk mailbox. The Sr. Payroll Processing Coordinator is responsible for identifying and processing any adjustment transactions required to properly reflect the employee’s pay, employment record, or hour’s balances for Navient and subsidiaries. Incumbent will process state tax changes while understanding the complexity of reciprocity laws between states. The incumbent processes manual checks as needed for terminations (immediate / set time of payments such as in CA, NV and TX) and they also process manual checks to correct errors. The incumbent audits and reviews the payrolls and prepares a gross to net on each payroll company.  Payroll Accountants relies on the incumbent to assist with clearing of reconciling items in the general ledger.  They provide customer service and support to all Navient companies on payroll related issues.  The following miscellaneous processes are on an as needed basis (almost every pay period) which may include garnishments, employment verifications, miscellaneous earnings, keying of general deductions (united way, PAC).  Retro overtime and contest cash are also processed. Incumbent may set up new Total Pay cards and Spot Incentive cards in Workday and receive and consolidate Incentive spreadsheets from departments and submit for processing. Incumbent may fund Spot Incentive Cards weekly, review the payroll register bi-weekly to ensure all adjustments submitted were processed correctly, run reports as needed for various departmental analysis. Incumbent ensures all Delaware employees working or living in the City of Wilmington are coded correctly so that Navient is compliant with City tax regulations. Incumbent will process historical time adjustments in Workday and assist with any Workday upgrade testing to ensure no issues with employee records, Federal and State taxes and employee Direct Deposit changes.

It is critical that the incumbent be able to enjoy working in a collaborative, team environment and have a solid working knowledge of payroll and state and federal tax law. Software experience in Workday, ADP, and Excel are necessary. Excellent communication, analysis and organization skills are required, and the incumbent will need to be comfortable working on multiple projects and varying deadlines. Customer service is job #1

This is a hybrid role with 2 days a week out of our Herndon office

This is a temporary position that does not offer benefits, however a permanent position may open in the future which, if offered, will include the full Navient benefit package.

1. Accuracy (Payroll Processing)      

  • Ensure all state tax data is keyed correctly
  • Process Incentive Cards timely and accurately
  • Ensure all internal control, confidentiality and policy and procedures are strictly followed
  • Process all payroll adjustments as required
  • Ensure that the timesheet data has been loaded and errors corrected
  • Process, review and provide analysis (gross-to-nets, etc.) of the bi-weekly and off-cycle payrolls
  • Ensure that manual transactions have been entered completely and accurately
  • Accurately import data (Commissions/bonuses, pay rate updates, etc.) into ADP Vantage from appropriate sources
  • Review and calculations for new hires, re-hires and transfers as needed

2. Communication/Customer Service    

  • Communicates with the Herndon Payroll staff to help answer employee questions and resolve issues.
  • Maintain communication to ensure that all staff are aware of deadlines and events that will affect the bi-weekly payroll. Paramount is a high degree of customer service while answering and resolving employee issues in a timely manner.
  • Communicate with HR for timely issuance of checks related to terminations, LOAs, etc. (depending upon state)

3. Reconciling

  • Research and solve pay record questions and discrepancies.
  • Review the payroll register after each payroll to ensure adjustments were processed correctly.
  • Participate in monthly review of cash accounts for accurate payroll posting

4. Teamwork   

  • Resolve issues as they arise and collaborate with payroll and other departments as necessary
  • Assist team members to maintain high degree of customer service
  • Cross-train with other payroll personnel to be able to assist with their responsibilities as needed
  • Other duties as assigned.

5. Special Projects / Reports and Analysis

  • Monthly reconciliation of Spot Incentives
  • Oversee individual/group related projects as assigned
  • Run Reports as needed for management analysis and review
  • Review multi-jurisdictional report and quarterly wage and tax reports to ensure that Forms W-2 are produced accurately for employees and former employees

MINIMAL REQUIREMENTS:

  • Must have some college (Accounting /Finance). Additional equivalent experience above the required minimum substitute for the required education.
  • Additional equivalent education above the required minimum can substitute for the required experience.
  • 2+ years of payroll experience
  • Experience working with ADP

PREFERRED REQUIREMENTS:

  • CPP (Certified Payroll Professional) or FPC helpful but not required.
  • Experience with Workday
